Inventory Management System
The Inventory Management System provides more than simple access to inventory information. Since profitable sales of products are the heart of a firm's reason for existence, the inventory is linked interactively to a powerful information base of individual customer needs, pricing options, sales and profit statistics, buying requirements and cost information. This information is presented in a specific and simple format, usable and functional for all levels of personnel who need inventory information. Since inventory is interfaced to order entry, purchasing, and sales analysis, information is interactively kept current by the computer with a single entry. 

The benefits of the system can be seen in a lowered inventory investment, better customer service, reduction of errors, accurate price and availability quotations, and efficient internal communication. A complete physical inventory counting system is part of this module, along with the capability to generate a costed bill of material for manufacturing processes and special jobs. 

System Features

  • Access to inventory can be made by product number or description on all inquiries. 
  • Multiple inventory inquiries are accessed through one routine, then segregated by type of information for simplicity. 
  • Inventory is fully integrated to order entry, sales analysis, manufacturing, and purchasing, if implemented. 
  • Complete inventory posting journal allows stand-alone use of the module. 
  • Physical inventory counting system which can be cycled. 
  • System allows user-defined classification of inventory (such as types, styles, stocked or non-stocked, manufactured vs. distributed, private label, raw materials, etc.). 
  • A cost history can be maintained by the system. (See Purchasing System.) 
  • Inventory costs can be specifically divided to show product cost, freight cost, and internal adjusted cost, for determination of landed cost of goods. 
Audit Features
  • System verifies reasonability of entry, such as valid code, weights for items sold by the pound, etc. 
  • System created journal with audit trail for all adjustments to inventory. 
  • All cost changes are posted and shown on hard copy. (See Purchasing System.) 
  • System maintains accurate inventory counts 
  • Produces hard-copy worksheets for physical use 
    On-line count posting...line entries are edited to prevent wrong items from being counted. 
    A hard-copy count journal is created which shows variance between on-hand and actual count with dollar effect. 
  • For manufactured items, a hard-copy production entry journal is provided. 
Inquiries
  • Available on each inventory item: 
  • Statistical - Shows sales and cost of sales information for month and year to date. 
    Price - Shows all elements comprising accurate landed cost, standard markup factors, standard prices and discounts, and piece prices. Inquiry also shows on-hand, reserved and available. 
    "Who Buys" - Shows which customers buy a given product and how many units they have bought over the last five periods. 
    Reservations - Shows customer, quantity, ship date and pricing for each order in the system. 
    Ordering - Shows five-period sales velocity statistics needed for effective purchasing and outstanding purchase orders. (Requires Purchasing module.) 
    History - Show previous purchases with costs and dates of purchase. (Requires Purchasing module.) 
    Bill of Materials - Shows raw materials make up of finished inventory item. (Requires B.O.M. module.) 
    Tracking - Shows ALL adjustments by month. Beginning balance is effected by invoices, credit memos, purchases received and ordered, as well as, inventory and count adjustments.
